Can I still utilize my eforms and custom Reg/Key Packets when using paperless registrations?

Yes. You can continue to use your eforms and Reg/Key Packets provided by EFPlus,Inc. at a significantly lower cost than generic preprinted Key Packets. Preprinted generic Key Packets are not customizable; however, our Reg/Key Packets are customized for your property with valuable information about your amenities, hours of operation and property maps, etc.

Simply register the guest, select print, tear off the top 3.5 inches and discard. Fold and insert keys as usual.

Don’t deny your guest the information they need about your amenities, restaurant hours, pool hours, etc. Give your guests a professional presentation for about half the cost of preprinted generic Key Packets.

Generic preprinted Key Packets are over 7 cents each; whereas, our fully customized Reg/Key Packets are just 4.5 cents each.

What is an electronic form?

An electronic form (eform) is a predefined graphic overlay (form template), including logos and other graphics such as maps or MICR lines, which we create using custom software. The template and graphics are programmed onto permanent stored memory devices for laser printers such as a SmartBox or a DIMM/SIMM flash memory chip.

How does an electronic form work?

When a property asks the printer to print a form, the eform stored on a memory device is called for, by either a hotel’s property management software or our proprietary SmartDriver, which then overlays the data to print simultaneously on blank paper at the speed of the laser printer.

What is a SmartBox?

The SmartBox is a memory device which attaches to a parallel port of any PCL compatible laser printer. The SmartBox stores electronic forms, fonts and graphics and is independent of the printer. Installation is simple (no need to open the printer).

What is a NetBox?

The NetBox is a memory storage device identical to the SmartBox, but is for use with an Ethernet port of any PCL compatible laser printer.

What is a Reg/Key Packet?

Our Reg/Key Packet is a proprietary form that eliminates the need to purchase Registration forms and Key Packets. It is die cut and perforated and sometimes pre-printed with color graphics. The paper is placed in the main tray of a laser printer and standard 8 ½” x 11” multipurpose paper is placed in the drop down tray located on the front of a laser printer. When a Registration is called to print by the Property Management Software, the Reg/Key Packet paper is drawn from the main tray and printed with data, advertising and graphics, including the guest name and room number on the Key Packet. When a folio is requested to print, the paper is drawn from the drop down tray. Many hotel brands have made this form a standard so we pre-print it with custom graphics in color, which enhances the product.

What is the process for obtaining eforms for my property?

There are two options for requesting an estimate. You may use our online estimate request form (link), or simply give us a call @ 888.337.2776 and speak to a customer service representative. We will answer any questions you may have and provide you with a portfolio of samples including an Order Form via UPS or US Mail.

We may then request that you provide us with any graphics you require and a mock-up of language you would like printed on your eforms—preferably via email. We can also scan any existing forms and digitize them for use as an eform using our proprietary in-house software.

How long does it take for you to complete my eforms order?

Because each eforms order is unique to the property, we like to have two weeks to design and create eforms. This allows for one week to design and provide you proofs, and one week to revise any proofs and produce your eforms and program your permanent memory storage device. However, our design and production teams are prepared to provide the products in less time for those emergency orders placed shortly before a hotel grand opening.

What is a proof?

A proof is a way of ensuring that we have typeset your eforms accurately and that every graphic is positioned according to your request. We provide you with proofs either by email or printed on paper for review prior to final production.

Why do I need to approve a proof if I have already provided you with everything I want to have printed?

We employ people to produce your work and bear in mind—people make mistakes. Your approval of the final proof is assurance that you have inspected every facet of our work and approve it as accurate. It benefits both the client and EFP if errors are caught in the proofing process rather than after the job is completed and delivered.

Do I still need to approve a proof if I provide my sample on disk or via email?

Yes. Computers process digital information using a variety of processing languages. Your approval of the proof that we provide you, assures that the output device used has correctly interpreted and processed the information you provided.

How do I obtain an estimate of costs?

Once your customer service rep has received your Order Form (link to order form) and processed a Sales Order, we will provide you with an Estimated Invoice. This estimate will allow you to process your 50% deposit required on the initial order. A final invoice will then be sent to you after the products and services are delivered.

What are your payment terms?

Our payment terms are typically Net 30 days. However, the initial order of eforms requires a 50% deposit before the product will ship. The balance of the initial order and any subsequent orders are invoiced at Net 30 days (as long as the account is in good standing).
